Deposits & Liabilities Report

The Deposits & Liabilities report provides details on tenant deposits and liabilities, including unpaid, paid, and partially paid transactions. It also displays the amount returned and held, along with the lease end date, for easier tracking of expiring leases.


The report is not shared with the owner by default. To enable sharing, the property manager must change the configuration in the owner's profile.

To access the Deposits & Liabilities report report, open the Reports page from the left-side menu. Here you can find the respective card in the Financial section (if the “swimlane by type” is enabled) and will be able to mark a report as favorite to move it to the top of the section.

Filters in the Deposits & Liabilities Report

When viewing the Deposits & Liabilities report, you can adjust the following filters to customize the data shown:

Date

You can either:

  • Set your own custom date range by selecting a start and end date, or

  • Use one of the preset options, including:

    • All Time

    • Current Month

    • Last 30 Days

    • Previous Month

    • Last 3 Months

    • Previous Quarter

Property & Units

You can filter the report by:

  • A single property

  • Multiple properties
    If a property is multi-family, you can choose to filter by specific units or select all units.

Tenant

You can filter the report by a specific tenant from the dropdown menu.
If you do not select a tenant, the system will generate the report for all tenants.

Category & Sub-category

  • If no category is selected, the system will include all categories in the report.

  • If a category is selected, you’ll have the option to choose relevant sub-categories as well.

Group

You can choose whether to group the report for a more organized and readable view.

Lease Status

Filter by lease status, including:

  • Active

  • Future

  • Past

  • Ended

Lease Expiration

Use this filter to narrow down results based on lease expiration dates.

Columns

You can personalize your report by selecting the columns you want to include. To do this, please click on the “Columns” button in the upper right corner. Here you can check the boxes next to the columns you want to be included in the report.

Preview the report

Once you open the report, you will see the preview of the report right away. You can adjust the information you want to be included and then download the report. A horizontal scroll appears when the information exceeds the width of the screen, allowing one to navigate and view all content.

Downloading the report

Click the "Download report" button at the top right corner to generate the Tenant screening report. The report is generated into one file, and you can download it as an Excel or PDF file. The "Download report" buttons will be inactive if there is no information on the chosen criteria or if you have no properties added.

If the file is very large, it will be compressed into a zip file which you will need to unzip.

What categories does this report include?


Only the liability transaction category and sub-category are included in the Deposits & Liabilities report.

Not included categories:

  • Management fees

  • Tenant Charges & Fees

  • Owner Contributions

  • Owner Distributions

  • Property Income

  • Property Expense

  • General Income

  • General Expense

Included statuses:

  • unpaid

  • paid

  • partially paid

Not included statuses:

  • pending

  • failed

  • void

  • waived

Accounting type

  • Cash
