Maintenance Request Statuses
Each maintenance request moves through a series of statuses to help you track its progress:
New – The request has been submitted and is waiting to be reviewed or assigned.
In Progress – Work on the request has started.
In Review – The issue has been addressed and is awaiting final review or confirmation.
Resolved – The request has been completed successfully.
Canceled – The request was canceled and will not be completed.
Archived – The request is closed and stored for recordkeeping.
Maintenance Request Statuses & What They Mean
Each maintenance request moves through different statuses depending on its progress and who is managing it. Here's what each status means:
New
This status appears when a work order is created manually or submitted by a tenant. It's the starting point for all requests.
In Progress
This indicates the work order has been manually updated or changed by the assigned Service Pro.
Note: Work orders marked In Progress cannot be deleted. You can only edit them or update the status.
In Review
Once the work is completed, you or your Service Pro can change the status to In Review.
This allows you to inspect the completed work before finalizing it.
After reviewing, you can mark it as Resolved or move it to another status if needed.
Resolved
You or a Service Pro (from your Contacts list) can mark a maintenance request as Resolved.
Note: Service Pros found through the bidding system cannot resolve requests directly — the work must first be reviewed and approved by you.
If you’re using Property Management (PM) mode, this is also when you can post the service fees.
Cancelled
Any party — you, the tenant, or the Service Pro — can cancel a request.
When cancelled, the request is no longer shared.
Cancelled requests cannot be edited, only deleted.
All parties receive a copy and can remove it from their view.
Approval Pending
(Available in PM mode only)
This means you've sent the request to the owner for cost approval.
Approved
(Available in PM mode only)
This indicates the owner has approved the cost by selecting one of the submitted bids.
Declined
(Available in PM mode only)
This status means the owner has declined all submitted bids.
Archived
When a maintenance request is archived, it moves to a separate tab and becomes visible only to you.
Archived requests cannot be removed, but they are hidden from tenants and Service Pros.
How to View Requests by Status
You can filter requests by their status using the Display button. Simply click it and choose which request statuses you’d like to view.
The Requests board serves as the most convenient tool for changing the request status: just drag & drop a request card to the needed column - done - the request status was changed!
